Anthony,

I’m at the Renaissance Hotel and the email to the OKC teams failed due to the large list of email addresses.

Attached are the email addresses (short version).

Could you “blind copy” (just cut and paste the email addresses into the bc box) an email to them this morning (25th)?

In the “to” line type in your address and cc me.

Thanks,

Subject: **FIRST EMAIL**/Important Championship Qualifying Information!

Greetings Teams:

If your team qualifies at a Regional Event to attend the Championship (CMP), please remember you still must register, via TIMS, in order to attend!

Please visit: http://www.usfirst.org/community/frc/content.aspx?id=944 to see a full listing of the merit based qualifying criteria.

Registering for the CMP via TIMS

Please follow the process below:

  • On the Monday following your event, login to TIMS https://my.usfirst.org/frc/tims/site.lasso after 9:00 am EST;
  • Proceed to the "Event Registration" section, click on the "Go" link and then "Add Event" to register your team for the Championship accordingly;
  • Pay by credit card online or make payment arrangements with Finance by calling 800-871-8326, ext. 450, 478 or 415. Payment by credit card or check must be received by Friday April 10th in order to compete.
  • You must both register and make payment arrangements by 5:00 pm EST Tuesday following your event.

IMPORTANT - If you do not register by the Tuesday deadline, your team will once again become ineligible to register for the CMP (i.e., your spot will not be held past the Tuesday deadline!).

Bills of Lading to the CMP for Qualifying Teams

Shipping To the CMP:
Per the new shipping rules, FIRST will NOT be providing Shepard Exposition Services (SES) with FedEx Bills of Lading (or airbills) at Regional Events for CMP qualifying teams.  Teams must ship their robot to CMP by either using one of their original two donated FedEx shipments or by making arrangements with Shepard to use their shipper.

Shipping Home from CMP
Teams will be given either a Bill of Lading or airbill at on-site CMP registration to ship their robot home.

Making CMP Hotel Reservations

Please go to the Steele Meetings website at https://www.e2mevents002.com/client/viewEvent.do?alias=FIRST09 to make your housing arrangements.

IMPORTANT I:  Each season there are teams who make CMP hotel arrangements in the hopes they will qualify at a regional event.  Teams that do this do so at their own risk.  You will be responsible for any cancellation fees incurred per Steele Meetings Policies.  If you have any questions, please contact Steele Meetings directly for any further clarification at: first@steelemeetings.com.

IMPORTANT II:  DO NOT ship your robot to the CMP event unless you qualify at your regional event! Teams not registered for the Championship will be responsible to pay all costs associated with shipping their robot to and from the Championship.  Only teams officially registered to attend the Championship will have their shipments home covered by the FedEx Donation

Dear teams,

Final Notes:

  1. Read Ron’s email in Reference to a smooth unloading process Thursday am.
  2. All Teams must show the robot inspectors a Bill of Materials showing additional cost of parts you have added to your robot (see example attached).
  3. Don’t forget you free FedEx paperwork needed to ship your robot out of OKC on Saturday.
  4. Collect your Consent and Release forms and the Mentor-Member Roster before you leave for OKC

Subject: OKC Regional unloading

Here are a few items that will make unloading go smoother than last year.

1. Drivers MUST stay with their vehicle at all times.  The driver should not be one of the unloaders.  Drivers, please do not leave your vehicle to take things inside the building.  (This caused several delays last year.)

2. Buses will not be allowed into the turn around area by the unloading dock.  There is not enough room to make a turn.  Only pickups and trailers will be allowed into the dock.  So, if you have equipment on your bus that need to go into the pits, you must unload the bus on the street and carry the items to the pits.  If this is the case you might consider bringing a few carts and or dollies to roll things on.

3. Only unload the pit crew and equipment at the dock.  General student unloading will be at the main entrance on the south side.

4. Three members will be allowed into the pits at 7:45 on Thursday to unpack the robot shipping crate.  They will need only tools necessary to unpack the crate and safety glasses.  Its a good idea to have these items in a separate, easily accessible tool box.

5. Pits doors will open at 8:30.  Hopefully everyone is unloaded by then and ready to enter.

6. Look for members of the event staff and follow their instruction.  Remember to dress warmly.  Waiting outside for 15 minutes for the pit doors to open can get a little cool, especially on a February morning in Oklahoma.

Thanks
Ron

Subject: **FIRST EMAIL**/ Let the Lunacy Begin!

Greetings Teams:

When Neil Armstrong placed his left foot on the surface of the moon July 21, 1969,  he took "one small step for man and one giant leap for mankind."  This Thursday, February 26, history will be made again when the 18th FIRST Robotics Competition gets underway with the 2009 "LUNACYTM " competition! We are so glad you are with us to compete and celebrate during this momentous season!

We know there will be questions that come up once the regionals start.  The following will help you know how to reach us during the events and make sure your questions don't get "stuck in orbit!"

·      Rules or Scoring Questions - Drivers and RoboCoaches must contact the Head Referee with these after a field reset has been signaled.  And, once the Head Referee has made a decision, the decision is FINAL!  FIRST will not overturn any Head Referee decisions.  Full details on this can be found in Sections 7 and 9 (7.3.7 and 9.5.2) of the FRC Competition Manual, "The Game" and "The Tournament" respectively.  We urge you all to read this so there is no confusion over this point.

·      Other Questions (besides Rules or Scoring):  Contact Pit Administration at the event. You may also contact Team Support* at FIRST Headquarters

·      General Event and Season Feedback:  FIRST will arrange to collect season feedback after the events via local Team Forums or through an alternate method. We will notify you well in advance so you can make your plans - stay tuned!

·      Team Stories: We know there will also be remarkable stories that unfold at each regional.  If you have a story to share with the FIRST community, please send it to marketing@usfirst.org.   We will collect and share your stories throughout the year.

·      Unresolved Issues: If you still have a question or concern that did not get resolved at your event, you may contact Team Support as indicated below.  Please remember FRC staff will be traveling in support of the events, and if your question requires their input, you may not get an immediate reply.  We will do our best to get you an answer as soon as possible!

*During the Event Season, Team Support will be available during regular business hours (8:30 am-5:00 pm EST) Monday-Wednesday, with extended hours to 8:00 pm EST Thursday and Friday, and Saturday from 12:00 pm-5:00 pm EST.  Team Support can be reached at frcteams@usfirst.org or by calling 603-666-3906, ext. 0.

Finally, we ask you to remember that the events are heavily supported by volunteers, not just FIRST staff.  They will be giving their time and effort toward making your event experience a success, and without them FIRST events could not happen.   We thank you all in advance for your gracious behavior toward the volunteers.  Please give each volunteer a warm "Hello!" and "Thank You!" - it will be appreciated by all!

We look forward to providing you with a quality experience and seeing you at the events!

Good luck to all.  Let the Lunacy Begin!

2009 FIRST Scholarship News – February Update

Greetings Teams:

We have added ten NEW SCHOLARSHIPS since last month!  There are now 130 FIRST scholarship providers who are offering college scholarships to students on FRC teams.  Many of these are still available for the fall of 2009.  So be sure to check out the FIRST Scholarship web page (at www.usfirst.org/scholarships) and follow the link to the 2009 FIRST Scholarship Opportunities.   Hint: You can sort the scholarship list by application deadline date by clicking on the Deadline column header.

New scholarships that have been added recently:

  • DeVry University is generously offering four (4) half-tuition scholarships (valued up to $32,500 over 9 semesters) and 25 scholarships for $1,500/semester (renewable up to $13,500 over 9 semesters) for any course of study.  There are over 90 DeVry campuses throughout the US and Canada.  Application deadline is 5/1/09.
  • Fluid Power Educational Foundation is offering two or more $500 non-renewable scholarships to seniors whose FRC team used pneumatics in their robot.  This scholarship may be utilized for studying Engineering or Engineering Technology at an FPEF Key School (see details on website for list of FPEF Key schools). Application deadline is 5/31/2009.
  • International Fluid Power Society is offering two $2.500 non-renewable scholarships to seniors whose FRC team used pneumatics in their robot.  This scholarship may be utilized for any ABET accredited Engineering or Engineering Technology program.   Application deadline is 5/31/2009.
  • Metropolitan Community College – Business & Technology in Kansas City, Missouri is offering one scholarships of $500 non-renewable for any course of study. Application deadline is 4/1/09.
  • Metropolitan Community College – Maple Woods in Kansas City, Missouri is offering two full-time scholarships for 24 credit hours for one year (valued at $1,968) for any course of study. Application deadline is 4/1/09.
  • Missouri University of Science and Technology is offering four scholarships of $500/year renewable up to $2,000 for any course of study.  Application deadline is 3/31/09.
  • Norfolk State University/BAE Systems is offering two scholarships for $2,500/year renewable up to $10,000.  These scholarships are for any of the undergraduate Computer Science or Engineering programs.  Application deadline is 6/1/2009.
  • Teradata Corporation is offering five $1,000 non-renewable scholarships to seniors who have participated on a Teradata sponsored FIRST team.  This scholarship may be utilized for any STEM-related (Science, Technology, Engineering, or Math) course of study.  Application deadline is 4/15/2009.
  • University of Wisconsin-Madison is offering two scholarships for $1,500/year renewable up to $7,500 over five years.  These scholarships are for study of any engineering discipline in their College of Engineering. Preference will be given to women or students from underrepresented racial/ethnic minority groups. Application deadline is 3/15/2009.
  • Virginia Tech/BAE Systems is offering one scholarship for $2,500/year renewable up to $10,000.  This scholarship is for a female in her Junior year of high school who wants to attend Virginia Tech and study engineering.  Application deadline is 4/1/2009.

Changes to Existing Scholarships

  • Penn State/BAE Systems has added another scholarship and will now award two (2) scholarships for $2,500/year. Application deadline is 3/5/2009.
  • Purdue University/BAE Systems has added an additional $10,000 scholarship to their offering.   They now are offering three scholarships, one for $15,000 and two for $10,000, payable over four years. (This is a correction to last month's announcement.) The application deadline has been extended to 3/1/2009.
  • Purdue University-Computer Science - The application deadline has been extended to 4/1/2009.
  • University of Arizona/BAE Systems has added another scholarship and will now award two (2) scholarships for $2,500/year. Application deadline is 4/30/2009.
  • University of New Hampshire/BAE Systems has added another scholarship and will now award two (2) scholarships for $2,500/year. Application deadline is 3/1/2009.

Scholarship Advice

  • Remember that some scholarships go unawarded because no one applies for them.  If you fit the eligibility requirements for a scholarship, go for it!
  • Pay attention to those application deadline dates.  There are close to 50 scholarships whose applications are due during the next month.
What if you have just missed the application deadline date?  Call the school or organization and ask if they will accept a late application. Some schools will accept applications even after the deadline date.   It certainly can't hurt to ask!
