Dear teams,
Final Notes:
- Read Ron’s email in Reference to a smooth unloading process Thursday am.
- All Teams must show the robot inspectors a Bill of Materials showing additional cost of parts you have added to your robot (see example attached).
- Don’t forget you free FedEx paperwork needed to ship your robot out of OKC on Saturday.
- Collect your Consent and Release forms and the Mentor-Member Roster before you leave for OKC

Subject: OKC Regional unloading
Here are a few items that will make unloading go smoother than last year.
1. Drivers MUST stay with their vehicle at all times. The driver should not be one of the unloaders. Drivers, please do not leave your vehicle to take things inside the building. (This caused several delays last year.)
2. Buses will not be allowed into the turn around area by the unloading dock. There is not enough room to make a turn. Only pickups and trailers will be allowed into the dock. So, if you have equipment on your bus that need to go into the pits, you must unload the bus on the street and carry the items to the pits. If this is the case you might consider bringing a few carts and or dollies to roll things on.
3. Only unload the pit crew and equipment at the dock. General student unloading will be at the main entrance on the south side.
4. Three members will be allowed into the pits at 7:45 on Thursday to unpack the robot shipping crate. They will need only tools necessary to unpack the crate and safety glasses. Its a good idea to have these items in a separate, easily accessible tool box.
5. Pits doors will open at 8:30. Hopefully everyone is unloaded by then and ready to enter.
6. Look for members of the event staff and follow their instruction. Remember to dress warmly. Waiting outside for 15 minutes for the pit doors to open can get a little cool, especially on a February morning in
Thanks
Ron
