Subject: Shipping your Robot

Dear teams,
 
It is time to call FedEx and schedule your crate for pickup. Call this next Monday or Tuesday (9-10 February). You need to locate your 2 - FedEx bill of lading and fill one of them out (see attached sample) before you call. They will ask you who they should "bill the freight charges to". You need to tell them the name and address in that section of your FedEx Bill of Lading. See shipment pickup info below for 866 #. See shipping scenarios below and attached.
 
 

Shipment Pickup

Your robot must ship on or before February 17, 2009. Call FedEx Freight at 1-866-393-4585 to schedule a pickup. Teams can call approximately ten (10) days ahead of ship day, but no more than that. Please note that Saturday and Sundays are not considered business days to schedule pickups. Additionally, Monday, February 16th is not considered a holiday with FedEx Freight.

Arrange for heavy-weight shipment pickup. You will need to:

*       Provide the pro-number
*       Provide your crate's dimensions and total weight
*       Emphasize that it is a heavy-weight shipment
*       If your pickup area does not have a loading dock, inform the representative that you will need a truck with a lift gate. There may be $76.00 minimum charge for a truck with lift gate. This cost is NOT covered under the donation.

Track your crate to monitor its progress.

Shipping scenarios:

All teams have 2 free FedEx shipping labels (from their Kit of Parts)
 
Scenario #1: Attending 1 regional (non championship qualifying) --- Team uses 1st free shipping label from home to OKC Regional and 2nd free label back to home.
 
Scenario #2: Attending 1 regional (championship qualifier) --- Team uses 1st free shipping label from home to OKC Regional. Team would use their 2nd label to ship to Atlanta. In Atlanta, they would then have to go to the drayage table, and would then be given an additional free FedEx shipping label. The team would use this new label to ship home.
 
Remember Sheppard requires all teams to fill out and fax the Sheppard payment authorization form (page 5) of the 2009_OK_Shipping pdf. This form will only be used by them if your robot is overweight but it must be on file before shipping date. You can call them for procedures relating to a school payment (if needed). This form will be destroyed following the last event you are involved in.
 
Don't forget to add the required shipping labels to your crate (see attached 2009 OK Shipping pdf).
